HR Administration and Employee Records

HR administration is the paperwork and compliance side of having employees: contracts, onboarding, records, policies, leaves and offboarding. YNL runs it for Canadian employers who have staff but no HR department — and no appetite for an employment standards complaint.

What’s included

Onboarding and employment documentation

Offer letters, employment agreements, tax forms, direct deposit setup and a documented first-week checklist so nothing is missed on day one.

Employee record management

A complete, current and securely stored record per employee — contracts, rate changes, reviews, certifications and leave history.

Policy manuals and handbooks

An employee handbook written to your jurisdiction's employment standards, including the workplace policies Ontario employers are required to have in writing.

Leaves, absences and accommodations

Statutory leave tracking, documentation and correspondence, coordinated with payroll so pay and entitlement stay in sync.

Performance and review administration

Review cycles scheduled, templates issued, outcomes documented and filed — the administrative half of performance management.

Offboarding and terminations

Final pay calculations, ROE issuance, equipment and access checklists, and documentation prepared in coordination with your legal counsel where required.

How it works

  1. Step 1

    Audit

We review existing contracts, records and policies against current employment standards and flag the gaps.

  2. Step 2

    Build

Templates, handbook and record structure created and approved by you.

  3. Step 3

    Operate

We run onboarding, records and leave administration on an ongoing basis.

  4. Step 4

    Maintain

Annual policy review as legislation changes and your headcount grows.

HR Administration questions

Is YNL providing legal advice on employment matters?

No. We handle HR administration and documentation. For terminations with cause, human rights matters or anything contentious, we work alongside your employment lawyer rather than replacing them.

Which written policies are Ontario employers required to have?

Requirements depend on headcount, but Ontario employers are generally required to have written workplace violence and harassment policies, health and safety policies, and to provide employment standards information to staff. We build these into the handbook and review them annually.

Can HR administration be bundled with payroll?

Yes, and it usually should be. When the same team handles onboarding and the pay run, new hires, rate changes, leaves and ROEs flow through once instead of being re-entered in two places.
